Taty Fittipaldi: Matt’s journey from overwhelmed to focused action.
Let me tell you the story about Matt, an entrepreneur who felt like his world was spinning out of control. Matt was overwhelmed, procrastinating, and unsure where to even start. He had convinced himself that there were simply too many tasks to tackle and no way to handle them all. This narrative of too much to do, too little time, had paralyzed him.
On top of that, Matt was experimenting with a self-compassion philosophy from a new age guru. The idea was to let his body dictate his schedule. No alarm clocks, no rigid routines, but the result? He was staying up late, waking up sluggish, and [00:03:00] feeling drained all day long.
Despite his lack of structure, he was putting immense pressure on himself to perform, leaving him stuck in a loop of frustration and exhaustion. Matt knew he needed help. His business wasn’t going to grow itself, and he feared the financial repercussions if he didn’t act quickly. That’s when he reached out to me, hoping to find clarity, create a plan, and establish a more productive routine.
Starting the coaching journey.
Matt chose to work with me because we’d worked together in the past and he trusted my ability to create actionable plans. However, the first thing I noticed was that Matt’s lack of discipline was rooted in the very philosophy he was trying to follow. It wasn’t my place to judge his choices, but I knew he had to address the disconnect.
I posed a question. You have [00:04:00] self-compassion for your body, allowing it to dictate sleep, eating, and rest. But why don’t you extend the same compassion to your tasks and business goals? Is there a reason why this shouldn’t apply across the board?
That question was the turning point. Matt realized he was holding himself to a double standard. Together, we redefined what self-compassion looked like, not just for his body, but for his work and life as a whole.
Building clarity and compassionate discipline.
We started by mapping out his needs: both physically and professionally. Matt identified how much sleep he needed to feel energized and pinpoint his most productive hours. We called this his prime time and it became sacred, dedicated to tackling his most important tasks.
Next we focused on his goals. What did he want to achieve in his [00:05:00] business and personal life? For each goal, we identified one or two key initiatives and set clear metrics to track progress. Matt didn’t enjoy rigid routines, so we created flexible rules to help him prioritize his tasks daily.
Importantly, we also built in strategies to handle any tasks left unpicked, avoiding the trap of procrastination.
The results of clarity, and focus.
With this new structure, Matt found clarity and energy. His story shifted from, there’s too much to do to I control what matters most. By letting go of the pressure to tackle everything and focusing on his priorities, Matt’s overwhelm and stress melted away. The results were amazing. In just six months, Matt created three new revenue streams for his business, tripled [00:06:00] his revenue growth, and secured two new partnerships that boosted his sales. His brand awareness skyrocketed on social media, and he even started working on a book with his spouse. Matt’s excitement and pride in his accomplishments we’re palpable.
Matt’s message for you.
Matt came away with a powerful realization. The stories we tell ourselves shape our outcomes. Changing his internal narrative, embracing compassionate discipline, and gaining clarity, allowed him to break free from procrastination and take meaningful action. His advice to other leaders, procrastination isn’t about laziness. It’s often about a lack of clarity. Get real about your priorities, challenge the stories holding you back, and don’t be afraid to seek support when you need it. One of the biggest lessons Matt learned was that the stories we tell ourselves shape how we act, communicate, and make decisions.
For Matt, the story was, there’s too much to do and I’ll never get it all done. This narrative created overwhelm and procrastination, which stalled his business growth. But once he changed his story to I control what matters most, everything shifted. The same is true for leaders in the corporate world. When you tell yourself, I’m too busy, or There is no way to manage this workload, you are already setting limits on your potential. Rewriting the narrative can change everything. Matt also realized the power of compassionate discipline. This isn’t about rigid routines or strict schedules. It’s about creating flexibility with purpose. For leaders who [00:09:00] dislike routines, it’s crucial to have a framework for picking priorities each day.
Here’s a strategy Matt used that can work for anyone.
Number one, start with clarity. Make sure your goals and priorities are clear. Without clarity, even the best strategies will fail. For Matt, this meant identifying his business goals and aligning them with specific initiatives.
Number two, use guiding roles. Instead of forcing a rigid schedule, establish daily rules for prioritization. For example, ask yourself, what’s the one thing I can do today that will have the biggest impact or which task aligns most with my goals? This approach ensures you’re focused on what matters without feeling boxed in.
Number three, address leftovers. Matt created the rule for handling tasks that weren’t tackled that [00:10:00] day. He avoided procrastinating by deciding when and how to deal with unfinished items, ensuring they didn’t pile up.
Addressing leftovers, a strategic approach.
Unfinished tasks are inevitable, but how we handle them determines whether they become a source of stress or an opportunity for growth. Matt’s approach involved creating a clear, practical rules to manage leftover tasks.
Here are some strategies to help you handle your own leftovers, with purpose and ease.
Number one, the end of day wrap up. At the end of each workday . Take 10 to five minutes to review what tasks remained unfinished. Ask yourself, is this task still a priority or has its importance shifted? Can this task be broken into smaller steps for easier completion tomorrow? By identifying what’s left and [00:11:00] assigning it a new spot on your calendar or to-do list, you are reducing mental clutter and setting yourself up for success the next day.
Number two, the 24 hour rule. Commit to addressing leftovers within the next 24 hours. For example, if you didn’t finish preparing a report today, set a clear time tomorrow to complete it. This prevents tasks from lingering indefinitely and ensures you maintain momentum.
Number three, categorize and delegate. Not every leftover task requires your immediate attention. Or your attention at all? Use these categories:
urgent and important. These tasks should be your top priority the next day.
Non urgent, but important. Schedule these into your week or delegate them if possible.
[00:12:00] Non-urgent and non-important. Consider whether these tasks need to be done at all.
Number four, batch similar tasks. If you have multiple leftover tasks, group them by type and tackle them in a focused block of time. For instance, combine all follow up emails into one 30 minute session. Reserve a specific time to handle administrative tasks, like updating spreadsheets or organizing files.
Number five, the no carry forward day. Set one day each week as your catch up day where you focus solely on clearing out lingering tasks. This keeps your workload manageable and ensures that you are consistently making progress without overwhelming yourself.
Number six, automate and simplify. For recurring leftover tasks, consider [00:13:00] automating parts of the process or simplifying the workflow. For example. Use templates for repetitive emails, create checklists for tasks you often leave unfinished.
Matt’s approach in action.
For Matt, leftovers where about regaining control of his day without feeling bogged down. He set specific rules. Tasks left undone today were reviewed at the end of the day and reassigned a priority for tomorrow. If tasks weren’t urgent, he scheduled them in his calendar for later in the week.
For tasks that felt overwhelming, he broke them into smaller, manageable steps. By handling leftovers strategically, you turn potential stressors into opportunities to refine your workflow, boost productivity, and maintain clarity. This approach ensures that nothing gets lost in the shuffle [00:14:00] while allowing you to focus on what matters most each day.
This framework isn’t just for entrepreneurs. It’s a game changer for corporate executives too. In any leadership role, the stories you tell yourself about your time, tasks, and priorities ripple out to your team. When you operate from a place of clarity and intentionality, it inspires those around you to do the same.

For instance, schedule your most important work during your peak energy hours, but also building buffer time for rest and creative thinking. This approach helps you stay consistent, without feeling rigid or burned out.
By reworking your internal narratives, focusing on clear priorities, and embracing compassionate discipline, you can lead with greater confidence, clarity, and impact. These small changes can make a big difference in how you navigate challenges and achieve your goals.
